Digital Transformation: Needs Analysis and System Selection
Organisation: Kids First Australia is an independent national child, youth and family services provider and early education specialist. Their vision is for all children and young people to thrive in resilient, strong and safe families and communities.
Problem: Needs analysis to understand their business requirements in Finance, Payroll, HR and Kindergarten. Key drivers: decrease staff admin, improve functionality, close gaps in process and identify automation and integration.
Solution: Series of workshops with stakeholders covering pain points, as-is and to-be processes, detailed document and data analysis, interviews with key subject matter experts, user stories, system analysis and selection.
Outcome:
1. Childcare Management Application selected to streamline operations and enhance service delivery.
2. Finance System selected in collaboration with a seasoned not-for-profit finance vendor.
3. Robust HR & Payroll System selected to support a growing organisation.
System and Business Process Review: Business Case
Organisation: The Department of Communities & Justice's (DCJ) Safer Pathway Program was developed to ensure all victims of Domestic and Family Violence (DFV) receive timely, consistent and effective responses from the DFV system. Stakeholders include Police, Victims Services, Legal Aid, Child Protection, Health, Housing Education, Community Corrections and Men's Telephone and Counselling Referral Service.
Problem: Business Case to understand the need for replacement and/or redesign of the ICT and associated business processes for Safer Pathway service delivery.
Solution: Series of workshops with stakeholders covering pain points, as-is and to-be processes, detailed document and data analysis, interviews with key subject matter experts, on-site visits.
Outcome: Detailed report covering potential cost savings and short-term and long-term recommendations for next steps, including future state system design and considerations, risks and outcomes. DCJ used this business case to request additional funding for the recommended changes.
Technology Governance Framework

Organisation: Red Nose is a national charity working to save little lives and support families impacted by the death of a baby or child, through world-class research, lifesaving education programs and vital bereavement support services.
Problem: Write a Technology Governance Framework to be assessed for Accreditation under the National Safety and Quality Digital Mental Health Standards. Additionally, conduct a Privacy Impact Assessment for the above Case Management System implementation.
Solution: Developed a Framework outlining Red Nose’s guiding principles — policies, procedures, controls, and metrics — to support transparent, accountable, and effective IT management. Delivered a Privacy Impact Assessment (PIA) for the new Case Management system, identifying risks related to the Australian Privacy Principles (APP) and recommending strategies to manage, minimise or eliminate privacy impacts to clients.
Scoping and Implementation of Domestic and Family Violence (DFV) Case Management System
Organisation: Open Support is a not-for-profit, committed to reducing the impact of DFV and social isolation.
Problem: The organisation was managing client cases through paper-based processes, leading to inefficiencies, lack of clarity, inconsistent practices, and security concerns. They needed to explore system-based options to improve the efficiency, consistency, and security of their case management approach.
Solution: Stakeholder interviews and workshops to understand business requirements, evaluate criteria, map business requirements to tools and analyse possible cloud technology solutions. Following an RFP (Request for Proposal), a vendor was selected according to strict evaluation criteria.
The implementation of the system was managed, with services including project planning, vendor and sprint management, liaison with subject matter experts (SMEs), user acceptance testing, defects management and end user training.
Business Requirements for National Joint Replacement Data Registry

Organisation: The Australian Orthopaedic Association is the peak professional organisation for orthopaedic surgery in Australia, with more than 2000 orthopaedic consultants and trainees in Australian hospitals. AOA also administers the AOA National Joint Replacement Registry (AOANJRR), to improve and maintain the quality of care for individuals receiving joint replacement surgery.
Problem: AOANJRR used 3 separate systems to process, analyse and report on joint data to track success and outcomes of surgeries over time, with 22 years’ worth of data, across 2 million procedures. It was deemed the systems were not fit for purpose, for various reasons.
Solution: AOA required a Business Analyst Consultant for the discovery, analysis and documentation phase, including an analysis of current state, as well as future state requirements.
Outcome: Detailed set of business process workflows and functional, non-functional and reporting requirements to be included in a Request for Proposal (RFP) for a single Joint Registry system. Webinar presentation to RFP applicants.
